How to Start a Wedding Rental Business
A wedding rental business rents and delivers the chairs, tables, linens, arches, dance floors and tableware a reception needs. In October 2026 a resin Chiavari chair cost $55 wholesale and rented for $5 to $10. Couples spent an average of $2,000 on event rentals, and 76 percent of weddings fall between May and October.

Key takeaways
- The Knot's 2026 Real Weddings Study, from 10,474 couples married in 2025, puts average spend on event rentals at $2,000 and on lighting and decor at $1,900, with an average of 117 guests.
- Weddings are booked far ahead: the average US engagement lasts 15 months, and October and June each hold 16 percent of weddings. December holds 1 percent.
- A ToughResin Chiavari chair listed at $44.97 to $58.80 and a crossback at $24.97 to $79.98 on one wholesaler's site on 16 October 2026. LendControl puts Chiavari rental at $5 to $10.
- A 190 gsm polyester 90 x 132 inch tablecloth weighs about 3.2 pounds, so outside laundering at $0.50 to $1.00 a pound costs about $1.60 to $3.20 every time it comes back.
- A portable 12 x 12 marquee dance floor listed at $4,999.98 on sale. LendControl puts a 12 x 12 rental at $250 to $500, so it pays back in 10 to 20 weddings.
- Venues set the clock: one Baltimore venue allows 1.5 hours of load out and no next day pickup, and one Brentwood, Tennessee venue asks for insurance certificates from tent, rental and catering vendors only.

What a wedding rental business rents
A wedding rental business supplies the furniture and finishes of a reception: guest seating, tables, linens, a ceremony arch, a dance floor, and often tableware and decor. It is a party rental business with a narrower customer, larger orders, longer lead times and less tolerance for mistakes.
The general business, from registration to first bookings, is in how to start a party rental business. This guide covers what changes when the customer is a couple, a planner or a venue, and the event is a wedding.
Three things make wedding work different from backyard parties:
- The order is bigger and more specific. A birthday needs 40 white folding chairs. A wedding for 117 guests, The Knot's 2026 average, needs a matching chair style for every guest, a cloth sized to every table, and a ceremony set that may be on another lawn.
- The booking comes a year early. Couples book vendors months out, then change the guest count, the colors and the layout before the date. You hold stock for a long time against a deposit.
- Someone else owns the room. The venue sets your load in time, your load out deadline and the insurance you must show, and the planner often decides whether you are hired at all.
The money is real but modest per wedding. The Knot's 2026 Real Weddings Study puts the average spend on event rentals at $2,000 and on lighting and decor at $1,900, against an overall average wedding cost of $34,200. A wedding rental company grows by filling many Saturdays, not by finding a few large ones.
The market around it is growing. The American Rental Association forecast, published in Rental Equipment Register on 21 May 2026, has US event rental revenue rising 8 percent in 2026 to $6.1 billion, and Canadian event rental rising 6.3 percent to $280 million.
What wedding rental inventory costs
A starter wedding inventory for one reception of about 120 guests costs roughly $10,000 to $13,000 in chairs, tables and linens at the October 2026 wholesale prices below, before a dance floor, which adds about $5,000. Prices here are one wholesaler's sale prices, read on 16 October 2026, so treat them as a floor and compare quotes.

Prices read 16 October 2026, before freight and sales tax. Most were sale prices.
Here is the arithmetic for one reception of 120 guests at those prices, as an illustration: 120 ToughResin Chiavari chairs at $55.27 is $6,632, 15 sixty inch rounds seating eight is $2,823, and 15 round cloths at about $14 is $210. That is $9,665 before a cake table, a head table, napkins, spares and freight, which is why the realistic range above sits higher. Buy spare chairs beyond your largest order: a chair that comes back scuffed or wobbly cannot go to the next wedding, and a wedding cannot be short a seat.
Where to buy, how to compare manufacturers and what freight does to a quote are in buying tables and chairs wholesale.
Chairs: Chiavari, crossback and folding
Chairs are the line every wedding order has, and the style is the first thing a couple asks about. Start with one premium style in one or two finishes, plus a plain folding chair for ceremonies and overflow.

Chiavari chairs. The ballroom standard. Resin models stack, wipe clean and survive a truck better than wood. Chivari's ToughResin models listed at $44.97 to $58.80 and its steel skeleton resin models at $70.56. Most Chiavari setups add a seat cushion, which is a second item to stock, clean and count.
Crossback chairs. The rustic and barn wedding look. Chivari listed real wood crossbacks at $70.56 to $77.62 and its cheapest basic resin crossbacks at $24.97, mostly on sale. We could not find a published range of US crossback rental rates worth quoting, so call three competitors before you price yours. Crossbacks with wood frames are heavier and do not stack as high, so they eat more truck space per guest.
Folding chairs. Ceremony rows on a lawn are usually white folding chairs, and outdoor ceremonies are where you will use them most. Resin folding chairs at $27 to $36 look better in photos than the $15 steel and poly kind and cost twice as much.
Two buying rules: keep one finish per style until you sell out of it, and buy in multiples of what your tables seat. A mismatched chair shows in every photo. What Chiavari, cross back and folding chairs rent for is in table and chair rental prices.
Linens, and what laundering really costs
Linens look like the best return in the catalog and are the most work. A polyester tablecloth costs about $12 to $14 and rents for $8 to $25 (LendControl, April 2026), but every one must be laundered, inspected and folded before it goes out again. That cost decides whether a linen rental business makes money.
The free calculator will work out the tablecloth size for each table and drop, so you buy the sizes your tables actually need. A floor length cloth on a 60 inch round is a 120 inch round; on a 6 foot banquet table it is a 90 x 132.
What one wash costs
Outsourced laundry is priced by the pound. Rinse, a laundry service, says restaurant laundry services charge $0.50 to $1.00 a pound. Chivari lists its polyester cloths at 190 grams per square meter, which lets you work out the weight of each one.
| Tablecloth | Area | Weight at 190 gsm | Laundry at $0.50 to $1.00 a pound | Share of a $12 rental | Source |
|---|---|---|---|---|---|
| 90 x 132 inch rectangle | 7.66 square meters | About 3.2 lb | About $1.60 to $3.20 | 13 to 27 percent | Chivari fabric weight; Rinse rate; our arithmetic |
| 120 inch round | 7.30 square meters | About 3.1 lb | About $1.55 to $3.05 | 13 to 26 percent | Chivari fabric weight; Rinse rate; our arithmetic |
Rinse's page is undated and written for restaurants, so check the rate with a commercial laundry near you. The weights are dry weights from the seller's stated fabric weight, before hems.
Washing in house
The alternative is your own washers, dryers and pressing. One large operator shows what that looks like at scale: an Inland Empire party rental company listed for sale on BizBuySell in October 2026 runs in house commercial laundry and commercial dishwashing from a 12,000 square foot warehouse, on about $1.2 million of annual revenue. A small start rarely justifies that. Outsource until the laundry bill is large enough to pay for the equipment and a person to run it.
Turnaround is the hidden constraint
A cloth that comes back Sunday is not available Monday if the laundry returns it Wednesday. Count each linen as unavailable for its laundry turnaround, not just its rental days. Booking software that holds an item for a turnaround time after each pickup, as Rentopus does item by item, keeps a tablecloth off the calendar until it is clean. On paper, a busy June means the same ivory cloths promised to two weddings four days apart.
Stocking rules for a linen rental business:
- White and ivory first. They go with everything, and they are what a venue's neutral room needs.
- Few colors, deep stock. Every color is a separate pile to wash and count. Twenty navy cloths that all go out are worth more than five each of four colors.
- Napkins by the hundred. Every guest needs one, and they disappear.
- Replacement is a running cost. We found no reliable published figure for how many washes a rental polyester cloth survives. Track it yourself: log what you retire each month.
Arches, dance floors, tableware and decor
These lines raise the order value and set you apart from a plain table and chair company, but each brings its own handling problem. Add them one at a time, as wedding demand in your area proves out.
Arches. A ceremony arch is light money and light freight. Shop Wild Things listed an 8 foot geometric metal arch at $74.99 on sale, 22.55 pounds, breaking down into one box of 54 x 19 x 6 inches. Arches outdoors need weights or stakes against wind, and they need florals, which is a planner or florist relationship more than a rental one. We did not find published arch rental rates we would stand behind, so price against your market.
Dance floors. The highest ticket item in most wedding catalogs. Chivari listed a 12 x 12 portable marquee floor at $4,999.98 on sale, a 16 x 16 at $7,999.98 and single 4 x 4 panels at $499.98. LendControl puts a 12 x 12 rental at $250 to $500, so the floor pays back in 10 to 20 weddings. A common sizing rule, the one our dance floor calculator uses, plans for 40 percent of guests dancing at 3 square feet each: 117 guests need about 140 square feet, so a 12 x 12. Floors are heavy and slow to lay, so price the labor as its own line.
Tableware. Plates, flatware, glassware and chargers multiply by the guest count and come back dirty. One 9.25 inch porcelain dinner plate cost about $15.83 at Chivari, so a single place setting of plate, salad plate and charger runs into real money before glasses. Breakage and dishwashing are a business of their own. If the caterers you work with bring their own tableware, leave it out until planners ask you for it often.
Decor. Backdrops, lanterns, table numbers and signage are cheap to buy and impossible to standardize. Buy decor only when two or three past customers asked for the same piece.
Tents are the other big wedding category. They bring permits, crews and wind ratings, and they are covered in how to start a tent rental business and in buying event tents.
Damage and loss
Wedding rentals come back with wax, wine, lipstick, burns and missing pieces. The operators who publish their policies split normal soiling, which their own laundering covers, from damage, which the customer pays for. Write that line before your first wedding.
| Policy point | What one operator publishes | Operator | Source |
|---|---|---|---|
| Normal use | Food stains, beverage spills and dirt from normal use are covered by the laundering included in the rental | Hill Country Event Rentals | Linen damage policy, 2 July 2026 |
| Damage | Burns, candle wax, mold or mildew from returning wet linens, paint, permanent marker or ink, bleach, cuts, tears and holes | Hill Country Event Rentals | Linen damage policy, 2 July 2026 |
| Damage charge | 3 times the rental if linens are damaged because return instructions were not followed | Premiere Events, Austin and College Station, Texas | Linen policies, August 2023 |
| Lost packing | $1.50 per hanger and $20 per linen bag not returned | Premiere Events | Linen policies, August 2023 |
| Return rules | Do not wash; shake out petals, confetti and food; never bag damp linens | Premiere Events | Linen policies, August 2023 |
Four habits keep damage from becoming an argument:
- Count at delivery and at pickup, on paper or on a phone, with the customer or venue contact signing. A shortage found back at the warehouse is a shortage nobody owns.
- Write the damage terms into the agreement, including wax, burns and wet linens, and say whether you charge repair, replacement or a multiple of the rental. The clauses are in your rental agreement and damage waiver.
- Photograph anything you will charge for before it goes in the wash.
- Charge the card on file, not an invoice sent a week later. By then the couple is on their honeymoon.
Wedding season and long lead bookings
Wedding demand is concentrated and booked early. The Knot's Real Weddings Study finds 76 percent of weddings between May and October, and the average engagement lasts 15 months, so many of next year's Saturdays are spoken for before this year's season ends.
| Month | Share of US weddings | Source |
|---|---|---|
| October | 16 percent | The Knot Real Weddings Study, updated May 2026 |
| June | 16 percent | The Knot Real Weddings Study, updated May 2026 |
| May | 14 percent | The Knot Real Weddings Study, updated May 2026 |
| September | 13 percent | The Knot Real Weddings Study, updated May 2026 |
| August | 10 percent | The Knot Real Weddings Study, updated May 2026 |
| December | 1 percent | The Knot Real Weddings Study, updated May 2026 |
| May to October combined | 76 percent | The Knot Real Weddings Study, updated May 2026 |
What that means for a rental company:
- Your calendar fills a year out. A booking in November for next October holds 120 chairs for eleven months. Your availability has to be right for dates you will not think about again until summer.
- Orders change. Guest counts move up and down until weeks before the date. Agree in writing when the count locks, and what an increase costs after that.
- Peak Saturdays sell out. On a popular date every company is full. That is the day to hold your price, not to discount.
- Winter is for buying. December holds 1 percent of weddings. Use it to answer inquiries for next season, repair stock and buy for the year ahead.
Deposits and payment schedules
A wedding booked a year ahead needs a deposit large enough to protect the date and a balance that is paid before you load the truck. No trade body publishes a standard deposit for wedding rentals, so set your own terms and apply them to every couple the same way.
What follows is a structure many operators use, not a published standard:
- A deposit at booking that covers the risk of an empty Saturday. The deposit ranges and cancellation tiers in how to price bounce house rentals carry over; for weddings, weight it toward the high end, because a June Saturday cancelled in May cannot be resold.
- A final count date two to four weeks before the wedding, after which quantities can rise but not fall.
- The balance before delivery, charged to the card already on file, so nobody is chasing a check at the reception.
- A written cancellation and date change policy, including what happens if the couple moves the date into next season.
Every dollar taken a year ahead is money you owe in service. Keep deposits visible as a liability in your books, not as spending money. That matters on the day you sell the company, as party rental business for sale explains.
Working with planners and venues
In wedding rentals the planner and the venue are customers too: they decide who gets recommended, and they set the rules you work under. One planner who sends three weddings a season is worth more than any ad, and one venue that drops you from its list can cost a year of bookings.
The Knot's 2026 study counts an average of 13 vendors per wedding and puts the average planner fee at $2,100. A planner manages those thirteen vendors. Make yourself the easy one:
- Answer quotes fast and in writing, with a diagram of what goes where.
- Know the venue. Measure the doors, the stairs, the elevator and the distance from the loading dock to the room before the first wedding there.
- Send the certificate of insurance before you are asked.
Vendor lists and certificates of insurance
Venues keep preferred or required vendor lists, and many ask for a certificate of insurance, the one page summary of your liability policy, naming the venue as an additional insured. The rules differ venue by venue:
- Ravenswood Mansion, run by the City of Brentwood, Tennessee, requires certificates from tent, rental and catering vendors only, and its own event policy must carry $1,000,000 per occurrence with the City of Brentwood as additional insured.
- The Bell Tower on 34th in Houston wants vendors' insurance paperwork on file one week before setup, including for any sub vendor or supplier.
If you rent to weddings, you are exactly the vendor these rules name. Which policies you need, and how to turn around an additional insured request in minutes, are in bounce house insurance, which applies to tables and linens as much as to inflatables.
Delivery, setup and strike windows
The venue sets your hours, and wedding venues set tight ones. Some give you hours to set up and less than two to clear out, and some forbid leaving anything overnight. Read the venue's rules before you quote, because they decide how many trucks and people the job needs.
| Venue | Setup window | Strike (load out) rule | Source |
|---|---|---|---|
| Evergreen Museum and Library, Johns Hopkins, Baltimore | 4 hours for garden, terrace and carriage house events; 3 for the carriage house only | Load out limited to 1.5 hours; no early drop offs or next day pickups | Evergreen events FAQ, read 16 October 2026 |
| The Bell Tower on 34th, Houston | Setup completed within 2 hours, through the back of the building | Items removed by the end of each event unless pre approved; overtime billed at $500 an hour per room | Vendor requirements, read 16 October 2026 |
Strike is the industry word for taking everything down and loading it out after the event.
What this means in practice:
- A late night strike is normal. If the reception ends at 11pm and the venue allows 1.5 hours, your crew is loading until half past midnight. Price the late crew as its own line.
- Same day pickup needs more people. 120 Chiavari chairs, 15 tables and a dance floor in 90 minutes takes more hands than a backyard drop off. Time your crew loading a full order once before you promise a strike window. Staffing for that is covered in hiring a party rental crew.
- Route the weekend around the strict venues. Deliver to the venue with the tightest window first, and leave the backyard wedding with next day pickup for Sunday.
- Overtime lands on someone. At $500 an hour per room, a crew that runs late costs the couple money, and the venue will remember whose crew it was.
Wedding rental business ideas: where to specialize
You do not have to rent everything. Many wedding rental businesses start as a specialist, own one category well, and add the next when planners keep asking for it. Each specialty below has a different cost to start and a different operating problem.
- Chair specialist. Chiavari or crossback chairs, cushions and a folding chair line for ceremonies. At October 2026 wholesale prices, 150 resin Chiavaris cost about $8,300. The problem is truck space and counting.
- Linen rental business. Cloths, runners and napkins in a deep stock of a few colors. The cheapest start, a few thousand dollars, and the most labor: laundering, pressing and stain control decide the margin.
- Dance floor and staging. One 12 x 12 floor at about $5,000 rents to almost every reception that has a band or a DJ. The problem is weight and setup time.
- Ceremony and decor. Arches, backdrops, aisle pieces and signage. Low cost to buy, high dependence on planners and florists, and hard to standardize.
- Full service wedding rentals. Everything above plus tables and tent partnerships. The highest order value, and the calendar problem of every item, every color and every turnaround at once.
The startup costs, insurance and first bookings for the general business are in the pillar, how to start a party rental business. Whatever you choose, write it down as a plan with your own prices before you buy a single chair, then name it for the specialty: wedding rental business names has fourteen ideas and the checks to run first.

Frequently asked questions
How much does it cost to start a wedding rental business?
For one reception of about 120 guests, chairs, tables and linens cost roughly $10,000 to $13,000 at October 2026 wholesale prices, before freight. A 12 x 12 dance floor adds about $5,000 and an arch under $100. A linen only start can be done for a few thousand dollars. Add insurance, a vehicle that carries your largest order, and storage that keeps linens dry.
Is a wedding rental business profitable?
It can be, because most inventory pays back fast: a resin Chiavari chair in 5 to 12 rentals, a dance floor in 10 to 20 weddings. What eats the margin is labor at strict venues, laundering, damage and a short season, with 76 percent of weddings between May and October. No published survey of wedding rental company profit exists, so build the numbers from your own prices.
What equipment do I need to start a wedding rental business?
Start with what every reception needs: one premium chair style with cushions, round and rectangular tables in two sizes, and white and ivory linens sized to those tables. Add a white folding chair for ceremonies. A dance floor, an arch and tableware come next, once planners in your area keep asking for them. Buy commercial grade, never consumer furniture.
How much does it cost to launder rental linens?
Outsourced laundry charges by weight, about $0.50 to $1.00 a pound per one laundry service. A 190 gsm polyester 90 x 132 inch cloth weighs about 3.2 pounds dry, so each wash costs roughly $1.60 to $3.20, or 13 to 27 percent of a $12 rental. Check the rate with a commercial laundry near you, and count pressing and folding time too.
How far in advance do couples book wedding rentals?
Often many months ahead. The Knot's Real Weddings Study puts the average engagement at 15 months, and The Knot says couples use that time to book the vendors they want well in advance. Guest counts and colors then keep changing until a few weeks before the date, so your availability has to be right for dates many months away.
What deposit should a wedding rental company take?
No trade body publishes a standard. Take a deposit at booking large enough to cover an empty peak Saturday, set a final count date two to four weeks out, and charge the balance before delivery to the card on file. Put the cancellation and date change policy in the signed agreement, and apply it the same way to every couple.
Do wedding venues require rental companies to have insurance?
Many do. Ravenswood Mansion in Brentwood, Tennessee requires certificates of insurance from tent, rental and catering vendors specifically, and Houston's Bell Tower on 34th wants vendor insurance paperwork on file one week before setup. Expect requests to name the venue as an additional insured, often with $1,000,000 per occurrence general liability, and keep certificates ready to send the same day.
How do I get on a venue's preferred vendor list?
Work a few weddings there without a problem first. Arrive inside the setup window, clear out inside the load out window, send your certificate of insurance before you are asked, and leave the room as you found it. Then ask the venue coordinator directly. Planners notice the same things, and a planner's recommendation often gets you onto a list faster than a sales call.
