Table and Chair Rental Prices: What Rental Companies Charge in 2026

Chair style sets the price more than the city does. A plain plastic folding chair rents for about $1.50 to $3, a padded folding chair for $2.50 to $5, and a Chiavari for $4 to $11, often with the cushion included.

Our arithmetic: one price per company, its white folding chair where listed and its lowest priced Chiavari.

Three patterns matter. The cushion is a line item at some companies and included at others: Hoosier's Chiavari is $10 plus $2 for the cushion, so the chair a guest sits on is $12, while Abbott and Sons, Friendly Rental Center and Grand Event Rentals quote the chair with it. Compare like with like before deciding you are expensive.

Color moves the price of the cheapest chair. Abbott and Sons charges $1.75 for white and $1.60 for black, Katy Rentals $2.25 and $1.75, Grand Rental Station $2.40 for white and $1.90 for brown. White chairs show dirt, get cleaned more and sell to weddings.

Cross back chairs are scarce on public lists. Only two of fifteen companies posted one, so if you carry them you compete with quotes, not posted numbers. What that market expects is in how to start a wedding rental business.

A 6 or 8 foot banquet table rents for about $9 to $13.50, a 60 inch round for $9 to $14, and a 72 inch round for $13 to $17. The spread is narrower than for chairs, because most fleets run the same plastic topped commercial tables.

Our arithmetic. Hoosier's 5 and 6 foot rounds count as 60 and 72 inch.

What stands out:

• The 8 foot table costs barely more than the 6 foot. Where both are listed, the gap is $0 to $2.31, so expect most banquet orders to be 8 footers.
• The 72 inch round carries a premium. Texas Party Rental and More charges $9.25 for a 60 and $17 for a 72. Per seat it is close, but the 72 takes a bigger cloth and more truck space.
• Cocktail tables price like rounds. Nine of the ten companies put a high top at $10 to $15, and it often goes out with a spandex cover, which Hoosier rents for $16.
• Farm and specialty tables sit on their own shelf. Grand Event Rentals lists an 8 foot farm table at $125 and Rent Event Utah farmhouse tables at $50 and $55.

A standard polyester tablecloth rents for $16 to $23 for a 120 inch round and $19 to $30 for a 90 by 132 inch banquet cloth. At every company below that also lists tables, the 120 inch round cost more than the 60 inch round it covers.

Our arithmetic, using each company's lowest price for the size.

Friendly Rental Center labels its 90 by 132 as fitting a 6 foot table to the floor and its 90 by 156 an 8 foot table. For other drops or odd table sizes, the tablecloth size calculator gives the cloth for any table and drop, with a chart you can send customers.

Fabric tiers are where linen margin is. Special Event Rentals in Calgary lists a 120 inch round at CAD $17.50 in standard polyester, $25 in its Somerset and Majestic lines, $55 in sequin and $65 in velvet. Napkins go in tens: Saddleback charges $0.95 each in packs of 10, Grand Event Rentals $0.80 to $0.90 in multiples of 10, and Friendly Rental Center $12 for 10. Rent Event Utah asks for linen orders at least 3 weeks ahead, a sensible rule if you rely on a linen supplier.

A rental dance floor costs about $360 to $450 for 12 by 12 feet and $720 to $1,250 for floors from 16 by 16 to 20 by 21 at companies that publish floor prices. Companies price per panel, per square foot or per finished size; converted, most standard floors land at $1.61 to $3.13 a square foot (our arithmetic).

How big for 100 guests. Big D Party Rentals publishes its own rule: 15 by 15 feet for 100 guests, 18 by 18 for 150, 21 by 21 for 200. That 15 by 15 floor is $362.50 in its oak and $487.50 in standard finishes. Ascension Party Rentals plans 4.5 to 5 square feet per dancer, and 8 for line dancing. What the panel price leaves out. Big D adds $1.00 per 3 by 3 section for turnkey setup and breakdown and quotes a subfloor, required on grass, separately. Grand Event Rentals requires every floor to be inside a venue, under cover or under a tent. Subfloor, edging and who builds it are where two quotes for "a 16 by 16 floor" stop being comparable. Delivery, minimums and setup are where quotes differ most. Published delivery starts at $55 near Houston and $300 in Atlanta, minimums run from none to $1,000, and setup, when listed, is about $1 to $1.50 a chair and $2.50 to $5 a table.

Published guides point the same way. LendControl's 2026 pricing guide for rental operators suggests delivery zones of $50 to $90 up to 10 miles, $90 to $150 for 10 to 20 and $150 to $250 for 20 to 30, and an order floor of $250 to $600 by season. Customers arrive with consumer numbers: Thumbtack's party rentals page says chairs may run $1.50 to $2.50 or more apiece, and WeddingWire puts the average starting price at $2 a chair and $8 a table.

Atlanta Party Rentals and Awesome Entertainment of Ohio show two honest ways to charge for labor: a per piece setup fee the customer can decline, or a percentage on every order. Both beat a flat "setup included" price that a 300 chair church order and a 30 chair birthday pay equally. A 100 guest seated dinner needs about 100 chairs, 13 sixty inch rounds seating eight, two 8 foot tables for the buffet and gifts, and a floor length cloth on each. At five US companies' posted prices that is $581 to $762 with basic folding chairs and $761 to $1,012 with padded chairs, before delivery, setup, damage waiver and tax (our arithmetic).

The order: 100 chairs, 13 rounds of 60 inches, 2 banquet tables of 8 feet, 13 cloths of 120 inches round and 2 of 90 by 156.

That is $5.81 to $7.62 per guest with folding chairs and $7.61 to $10.12 with padded ones (our arithmetic). For an operator, three things follow:

• Linens are the biggest line. At all five companies the 15 tablecloths cost more than the 15 tables, and more than 100 basic chairs. A table and chair company without linens hands the largest part of the order to someone else.
• The chair is the biggest upsell. Moving 100 guests from the $2.40 median folding chair to the $7.50 median Chiavari adds $510, more than all the tables and linens together at four of the five companies (our arithmetic).
• Delivery and setup can cost as much as the rentals. At Atlanta Party Rentals' rates, setting up and breaking down 15 tables and 100 chairs is $225, delivery starts at $300, and an 18 percent labor and production fee applies; this order would also fall under its $1,000 delivery minimum.

Sales tax applies on top in most states and provinces, and whether delivery and damage waivers are taxable varies; see sales tax on party rentals.

Canadian companies we read price basic folding chairs at CAD $1.50 to $2.75 and round tables at CAD $10 to $17.50, close to US numbers before the exchange rate. Delivery is often per item.

Read 31 October 2026. EY Party Rentals states Canadian dollars. Gold Star and Special Event Rentals show a dollar sign without naming a currency; both are Canadian companies with Canadian addresses, so we read them as CAD. Special Event Rentals' 8 foot banquet table is $16.00.

EY Party Rentals' model is worth copying anywhere. $2 an item for delivery without a tent, and nothing per item with one, makes a 100 chair order pay for its own truck and nudges customers toward the bigger tent order, while the CAD $150 minimum keeps a 10 chair order off the schedule.

At Special Event Rentals' prices, the same 100 guest order costs CAD $805 with basic chairs and CAD $1,225 with padded resin, using 5 foot rounds (our arithmetic). Its padded resin chair, at CAD $6.95, is nearly twice the US median.

Price near the market median, then make your money on what the median leaves out: linens, chair upgrades, delivery, setup and minimums. A basic chair sits near $2.40, a banquet table near $11 and a 120 inch round cloth near $19, so pricing far above that needs a reason the customer can see.

Post per item prices, then build packages from them. A round, eight chairs and a cloth at the medians is $11.38 plus 8 times $2.40 plus $18.75, about $49.33 (our arithmetic). A $45 package is then a visible discount, and a $55 one a premium you have to explain.

Set a minimum that pays for the truck. Published minimums ran from none to $1,000, and LendControl suggests $250 to $600 by season. Party Bound's approach, a higher minimum the farther from the warehouse, does the job of a distance band without a second price.

Charge delivery by distance or per item. Jumping Jack's free 25 miles then $5 a mile, LendControl's zones and EY Party Rentals' $2 an item all work. A flat fee is the one that loses money: the order 30 miles away pays the same as the one around the corner.

List setup as its own line. Atlanta Party Rentals charges $1.00 a chair and $2.50 a table to set up; Awesome Entertainment of Ohio $1.30 each way per chair. Customers who stack their own pay less, and the crew that sets 300 chairs is paid for it.

Write down damage and cleaning terms. Grand Rental Station charges a 13 percent damage waiver, and Awesome Entertainment of Ohio publishes a cleaning charge of $2 to $10 a chair. Linens come back stained; say what a ruined cloth costs before it happens. Put each line on the quote; the party rental invoice template has a line for each.

Define the rental period. Grand Rental Station prices a weekend, Saddleback counts a day before and a day after as one day, and Katy Rentals charges for time out, not time used. Most tables and chairs go out Friday and return Monday; decide whether that is one rental or three, and print it.

At the median rental prices above and the purchase prices in our wholesale buying guide, a plastic folding chair pays for itself in about 5 rentals, a resin Chiavari in 4, and a 60 inch round in about 16, before delivery, labor, cleaning and breakage (our arithmetic).

Our arithmetic: purchase price divided by median rental, rounded up. Purchase prices exclude freight, and linens are left out because the buying guide did not price them.

Chairs earn fastest, tables slowest, but a table rarely breaks and lasts for years. The Chiavari's payback depends on the cushion and the truck: 4 rentals only if the cushion is in the price or charged separately, and only if the chair survives transport. Track what each piece earns and costs to keep in service; party rental inventory management covers keeping those counts.

Tables and chairs rent in quantities, which makes the count the hard part: 140 chairs out on Saturday, 60 still at Friday's rehearsal dinner, and a quote for 100 more on the phone.
