Privacy Policy

What personal information Rentopus collects, why, who else sees it, how long we keep it, and the rights you have over it.

Updated October 29, 2026Version française

The short version

  • We do not sell personal information, and we do not use it for advertising.
  • Your customers' details belong to your business. We store them for you and on your instructions.
  • We collect no card numbers. Payments go through Stripe.
  • You can ask to see, correct, export or delete your information at any time.

A summary to help you read. The full text below is what applies.

This policy explains how Mikael Cote and Vincent Daigle, doing business as Rentopus ("Rentopus", "we", "us") handles personal information when you visit our website, create an account, or use the Rentopus dashboard and the booking websites we host for rental businesses.

1. Two roles, depending on whose information it is

Whose informationOur roleWho decides how it is used
Rental businesses that use Rentopus, their staff, and visitors to our own websiteWe are responsible for itRentopus
The customers of those rental businesses, who book through a booking website or receive a quoteWe store and process it on the business's behalfThe rental business

If you booked a rental from a business that uses Rentopus, that business is responsible for your information, and its own privacy notice applies. You can find it through the "Privacy" link on its booking website. Contact the business first; if you write to us instead, we will pass your request on to them.

The rest of this policy is mainly about the first row.

2. What we collect

When you create an account and run your business on Rentopus:

  • Your name, email address and password (stored only as a secure hash).
  • Your business details: name, email, phone number, address and warehouse location.
  • The staff you invite: their names, email addresses, phone numbers and roles.
  • What you enter to run your business: inventory, prices, delivery zones, policies, bookings and documents.
  • Billing details when paid plans are active. Card details are collected by Stripe and never reach our servers.

When you visit our website or use the Service:

  • Technical information our hosting provider records with each request, such as IP address, browser type, pages requested and the time of the request.
  • The cookies and browser storage described in our Cookie Policy. They keep you signed in, remember choices such as your language and light or dark mode, and remember which campaign or partner link first brought you to us, so a partner who sent you is credited if you create an account. That partner sees only counts and amounts, never your name or your business. None of them tracks you.
  • Anonymous visit counts, which we measure ourselves, with no cookies, on our public website, our sign up and sign in pages, and the booking websites we host: the page, the site that sent you, campaign tags in the link, your country and region, and your type of device (phone, tablet or computer). No IP address is stored: it is used in the moment to make an anonymous identifier that resets every day and cannot be linked back to you, then discarded. Since nothing is stored on your device and nothing identifies you, no consent banner is needed.
  • On our public website only, a second anonymous visit counter, Ahrefs Web Analytics, which shows us how people find our pages through search. It is not used on the sign up and sign in pages, the dashboard or the booking websites we host. Its script loads from Ahrefs, so Ahrefs receives the request, including your IP address, with the page, the site that sent you and your type of browser. It sets no cookie and stores nothing on your device, and Ahrefs does not store your IP address or anything that identifies you. Its counts cannot follow you to other websites or from one day to the next.

When you use our free tools: the tools run in your browser. The wind check sends the location of the ZIP code you enter to the United States National Weather Service to get the forecast, from your browser; we do not store it on our servers, and your browser remembers the last ZIP code you checked.

When you contact us: what you tell us, and how to reach you back.

3. Information we process for rental businesses

Booking websites collect what a business needs to deliver a rental: the customer's name, email, phone number, delivery address, event details, signed rental agreements, and any messages exchanged. We store it securely, use it only to provide the Service to that business, and handle it under our Data Processing Addendum.

A business can turn on the texting assistant, which answers the texts its customers send to the business's number. From 31 October 2026, an AI provider (Anthropic) reads those texts to write the replies. It receives the conversation and the business's rentals and prices, not the customer's name, email, phone number or past orders.

4. How we use information

  • To provide the Service: create and secure accounts, run your booking website, calculate availability, send the emails and text messages you ask us to send, and generate documents.
  • To support you when you contact us.
  • To keep the Service secure, prevent abuse and fix problems.
  • To send you service notices, such as security alerts, billing and changes to our terms. We send product news only if you have agreed to receive it, and you can unsubscribe at any time.
  • To understand, in aggregate, how the Service is used so we can improve it.
  • To meet legal obligations.

We do not sell personal information, we do not share it for advertising, and we do not use your customers' information for any purpose of our own.

Text messages. A customer gets texts about a booking only after ticking the box that asks for them on the booking form, and we keep the time and the exact wording they agreed to. Replying STOP ends them at once, and HELP replies with where to get help. Mobile phone numbers and text message consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. The only providers who see a number are the ones that deliver the texts.

Where the law requires a legal basis, we rely on: performing our contract with you; our legitimate interest in running a secure and reliable service; your consent, where we ask for it; and compliance with the law.

6. Who we share it with

  • Service providers who help us run Rentopus: hosting, database, email, text messages, maps and payments (Stripe, for your subscription and, when you turn them on, your customers' card payments), and from 26 October 2026 the AI features (Anthropic), which receive only the business material you ask them to read, and from 31 October 2026 the texts a customer sends to a business that turned on the texting assistant. Ahrefs, a company based in Singapore, counts visits to our public website anonymously, as described in section 2. They may use the information only to provide their service to us. The current list is on our subprocessors page.
  • The rental business a booking was made with, for information collected on its booking website.
  • Authorities, when the law requires it, or to protect the rights, safety or property of our users, the public or us.
  • A buyer or successor, if Rentopus is involved in a merger, acquisition or sale of assets. This policy would continue to apply to the information transferred.

7. Where it is stored

Our database and files are hosted in the United States, in Virginia, and the providers listed on our subprocessors page also operate from the United States. If you are in Quebec, elsewhere in Canada or outside the United States, your information is therefore communicated outside your province or country and stored in the United States, where it may be accessible to courts and authorities under the laws that apply there. Before relying on each provider, we assess the sensitivity of the information, the purpose, and the protection the provider offers, and we bind it by contract to protect the information in line with this policy.

8. How long we keep it

  • Account information is kept while your account is open. When it closes, you have 30 days to request an export; we then delete or anonymize it within 90 days, apart from what we must keep for legal, tax or accounting reasons. In practice, a closed account is deleted 60 days after it closes.
  • Information about a business's customers, including orders, signed agreements, delivery photos and messages, is kept for as long as that business keeps its account, because the business decides how long it needs its records, and is deleted when the account is closed, on the same timeline. Three kinds are deleted sooner, every day, whatever the business decides:
  • Delivery photos are deleted 6 months after they are taken, or 3 years after for photos of damage.
  • Texts and emails are deleted 2 years after they are sent.
  • The evidence around a signature, meaning the signer's IP address and device, the signature image and the signed PDF, is deleted 7 years after signing. What was agreed, who signed and when stay with the order.
  • Backups are overwritten on a rolling schedule, so deleted information disappears from them over time.
  • Technical logs are kept by our hosting provider for a short period, for security and troubleshooting.
  • Visit counts are kept as individual page views for 60 days, and as daily totals for 25 months.

9. How we protect it

  • All traffic to Rentopus is encrypted in transit.
  • Each business's information is isolated from every other business's at the database level, and that isolation is tested automatically.
  • Signed documents and photos are kept in private storage that is not publicly reachable.
  • Links sent to customers and staff invitations are stored only as secure hashes.
  • We never collect or store card numbers.

No system is perfectly secure. We keep a register of confidentiality incidents. If an incident presents a risk of serious harm to you, we will tell you and the authorities, such as the Commission d'accès à l'information du Québec, as the law requires.

10. Your rights

Depending on where you live, you may have the right to:

  • see the personal information we hold about you and get a copy;
  • correct it if it is wrong;
  • have it deleted;
  • receive it in a portable format;
  • withdraw consent you gave us, and object to or restrict some uses;
  • complain to a privacy regulator, such as the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec, or the authority in your state.

To use any of these rights, write to rentopus@hotmail.com. We will answer within 30 days, and we will not treat you differently for asking. We may need to confirm your identity first. Where the law gives you the right to a portable copy, we provide it in a structured, commonly used format.

If you are a customer of a rental business, send your request to that business. We will help it respond.

11. Children

Rentopus is a service for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We will update this policy when our practices change. If a change is material, we will tell account holders by email or in the dashboard before it takes effect. The date at the top shows when it was last updated.

13. Contact and the people responsible

The people responsible for the protection of personal information at Rentopus are Mikael Cote and Vincent Daigle, co-founders. You can reach them at rentopus@hotmail.com. For anything else, write to rentopus@hotmail.com.

This policy is also available in French.
