Folding Chairs Wholesale: Buying Tables and Chairs for a Rental Company

Six chair styles cover almost every rental catalog. Plastic folding chairs are the workhorse at about $11 to $15, resin folding chairs the wedding version at $23 to $31, and Chiavari, crossback and ghost chairs the premium tier at $25 to $80, depending on material.

Capacities and weights are the sellers' own listed figures.

Plastic folding chairs carry backyard parties, churches and schools. The price gap between TentandTable's $10.99 and Lifetime's $41.49 is real: Lifetime's chair is a contoured HDPE design with a 10 year warranty, against TentandTable's 1 year.

Resin folding chairs are the white "garden" chair of outdoor ceremonies. Chivari's takes a snap on seat pad, and Chivari says its ToughResin color is mixed into the resin so scratches show less.

Chiavari, crossback and ghost chairs are wedding inventory, and they bring cushions, dollies and a different customer. Before buying them, read how to start a wedding rental business, which covers what that market expects.

Three tables cover most orders: the 6 or 8 foot banquet table, the 60 inch round that seats eight, and the 30 inch cocktail table. Plastic topped commercial tables cost $60 to $460 each depending on maker and quantity; plywood rounds cost more and need a cloth every time.

Plastic or plywood. Lifetime's tops are UV protected high density polyethylene that it says will not crack, chip or peel. Chivari sells most of its banquet and round sizes in both plastic and plywood, with plywood $29 to $35 more on the 6 foot and 60 inch sizes. Lifetime also warns that a heat source on its tables can void the warranty, which matters for buffet chafers.

Two table sizes, not five. Every table size needs its own tablecloths, its own spot on the cart and its own line on the pull sheet. Before you settle on a size, work out what each one costs you in linens with the tablecloth size calculator: a 6 foot table takes a 90 x 132 inch cloth to the floor and a 60 inch round a 120 inch round, so your table choice sets your linen order too.

Buy from a maker that publishes volume tiers, or a wholesaler with a low minimum, and compare the price at the quantity you will really order. Lifetime cuts a table's price by up to 67 percent at its top tier; others hide wholesale prices behind a login or a quote.

The lesson: never buy commercial tables one at a time. A first order of 21 eight foot tables at Lifetime costs $3,150; the same 21 bought in threes would cost $9,660.

In Canada, none of the sellers above showed Canadian dollar prices on the pages we read. Ask for a delivered price that includes freight and any brokerage before comparing.

A weight rating is the seller's own figure, and sellers do not all measure the same thing. Ask whether a number is static (a load at rest) or dynamic (a person dropping into the seat), and compare like with like. Commercial chairs list anywhere from 330 to 2,500 pounds.

TentandTable is one of the few to give both: its plastic folding chair is rated 700 pounds static and 275 dynamic, its resin chair 1,000 static and 350 dynamic. Flash Furniture's own plastic and resin folding chairs are listed at 330, 500, 650 and 800 pounds. Chivari lists 660 pounds on its steel poly chair, 770 on resin Chiavari and 2,500 on its ghost chairs, without saying which kind. TentandTable's 2026 guide puts commercial folding chairs at static loads of 300 to 600 pounds.

Tables have the same problem. In two answers on the same Lifetime product page, the manufacturer gave its 8 foot commercial table a uniformly distributed load of 2,000 pounds and a center load of 400, and in an older answer 1,500 and 300. Lifetime says the table meets or exceeds BIFMA standards, the commercial furniture test standards.

What a rating will not tell you is how a chair survives a truck. For that, look at the frame gauge and cross brace (Lifetime and TentandTable both describe theirs), whether parts are sold separately, and the warranty.

Table and chair warranties run from 1 year to 15 years, but they all exclude normal wear and cosmetic damage, and the ones we read cover only the original purchaser. Read the exclusions as closely as the years.

Keep the dated invoice: Lifetime requires a sales receipt with every claim, and asks for photos of the damaged parts.

Buy the cart with the chairs, because the cart decides how fast a crew loads and how much floor the inventory takes. A hanging cart holds up to 120 plastic folding chairs on about 16 square feet; a rack dolly holds 150 chairs and 30 tables and stacks three high.

Storage space. On those footprints, 120 plastic chairs on a hanging cart take about 16 square feet of floor, and a rack dolly with 150 chairs and 30 tables about 17. Matching carts to chairs. Chivari's chart gives each cart a different count by chair type, and TentandTable says its standard cart does not take fan back chairs properly. Buy carts for the chair you own, not the chair on the box.

No maker publishes how many chairs fit in a truck, so work it out from two numbers: the cart footprint against the floor, and the weight against the payload. On a 16 foot box truck the payload usually runs out before the space does.

A worked example with published figures. Penske lists its 16 foot truck at up to 16 feet long, 7 feet 7 inches wide and 6 feet 6 inches high inside, with up to 4,300 pounds of load capacity.

Our arithmetic from the listed weights and dimensions. Two hanging carts side by side take 69 inches of the truck's 91 inch width, and two deep take 132 of its 192 inches.

Three cautions. The cart is 71.5 inches tall and the box 78 inches inside, so measure your door opening. Chair weights vary by model: the same count of resin chairs weighs 60 percent more than plastic. And a trailer has its own payload, its weight rating minus its empty weight, which is usually far less than a truck's. Loading the truck in driving order is covered in Saturday routing and crews.

Commercial tables and chairs last years, but the parts that touch the floor and the guests wear out first. Clean every piece between rentals, replace foot caps as soon as they wear, and keep a count of what breaks, because nobody publishes a replacement rate you can budget from.

TentandTable's 2026 guide says commercial tables and chairs in HDPE and powder coated steel can last 5 to 10 years when maintained, and recommends inspecting rubber feet and plastic caps after every return, replacing worn feet before raw steel scratches a client's floor.

Parts matter more than price. Chivari says it stocks 118 replacement parts, including foot caps, leg brackets and wheel kits, and 18 touch up paint colors. Lifetime sells replacement parts and foot caps through its customer service line. A chair you can repair stays in service; one you cannot goes in the dumpster.

Replacement rates. We found no published survey of how many chairs or tables a rental company loses or retires each year, and we will not invent one. Track it yourself: log each retired piece against its purchase date, and after one season you will know your own rate. Published operator price lists put a folding chair at $2 to $3, a padded resin chair at $4.50 to $4.75, a Chiavari at $10 and a table at $10 to $18 a rental. At wholesale prices, the pieces below pay for themselves in 3 to 14 rentals, before delivery, labor and cleaning.

Two things follow. Chiavari chairs pay back fastest per dollar, but they need cushions, dollies and careful handling. And the cheapest plastic chair is not automatically the best buy: at 4 rentals against 14 it pays back sooner, but carries 1 year of warranty against 10.
